Tax Filers Hub Ltd (company number 17156024, trading as “Tax Filers”; “we”, “us”) is a company registered in England & Wales that helps individuals, landlords and the self-employed prepare and file UK Self Assessment tax returns. We are the data controller responsible for the personal data described in this policy.

To prepare an accurate return we need to collect certain personal and financial information. Depending on your circumstances, this may include:

  • Identity & contact details — your name, date of birth, address, email and phone number.
  • Tax references — your Unique Taxpayer Reference (UTR) and National Insurance number.
  • Financial information — income, expenses, employment, self-employment, rental, dividend, pension and savings details, and supporting documents you upload.
  • Correspondence — messages you send us by email, phone, WhatsApp or our contact forms.

Information we collect automatically

  • Usage data — pages you visit and actions you take on our website, collected through cookies and similar technologies.
  • Device data — your IP address, browser type and approximate location, used to keep the service secure.

We use your information to deliver the service you've asked for and to run our business responsibly. Specifically, we use it to:

Who we share it with

We never sell your personal data. We share it only where necessary to deliver the service or meet our legal duties:

  • HMRC — to file your return and correspond about your tax affairs.
  • Service providers — vetted suppliers who host our systems, process payments and provide tax software, all bound by confidentiality and data-processing agreements.
  • Professional advisers — accountants, auditors and legal advisers where required.
  • Authorities — regulators or law enforcement where we are legally required to disclose.

Where a supplier processes data outside the UK, we ensure appropriate safeguards (such as UK adequacy regulations or standard contractual clauses) are in place.

How long we keep it

We keep your information only for as long as we need it. Tax and accounting records are generally retained for at least six years after the end of the relevant tax year, in line with HMRC requirements. Where we no longer have a reason to keep your data, we securely delete or anonymise it.

We take the security of your information seriously. We use encryption in transit, access controls, secure UK-based hosting and staff training to protect against unauthorised access, loss or misuse. While no system is ever completely secure, we maintain procedures to deal promptly with any suspected data breach and will notify you and the ICO where we are required to do so.

By engaging our service or submitting your details, you agree to these terms. We prepare your return from the information you give us — so accurate, complete information is essential. We act as your agent with HMRC, but you remain legally responsible for your own tax affairs.

The agreement

These Terms & Conditions form a legally binding agreement between you (“you”, “the client”) and Tax Filers Hub Ltd (company number 17156024, trading as “Tax Filers”; “we”, “us”), a company registered in England & Wales. They apply when you instruct us to prepare or file a Self Assessment tax return or use any related service. If you do not accept these terms, please do not use the service.

Our services

We help individuals, landlords and the self-employed prepare and submit UK Self Assessment tax returns. Depending on the package you choose, our service may include:

  • Reviewing the information and documents you provide.
  • Preparing your tax return and calculating the tax due.
  • Registering you for a Unique Taxpayer Reference (UTR) where needed.
  • Submitting your return to HMRC once you have approved it.
  • Answering reasonable questions about your filed return.

We provide a tax-filing service based on the information you give us. We do not provide regulated financial, investment or legal advice.

We may refuse to act where we believe information is incomplete, inaccurate, misleading, fraudulent, unlawful or where continuing to act would place us in breach of our legal, regulatory or professional obligations.

Eligibility

To use our service you must be at least 18 years old, resident in the United Kingdom for the purposes of the return, and able to enter into a binding contract. You confirm that the information you provide about yourself is true and that you are authorised to instruct us in relation to the tax affairs concerned.

Your responsibilities

The accuracy of your return depends on the information you give us. You are responsible for:

  1. Providing complete, accurate and timely information and documents.
  2. Disclosing all sources of income, gains and any relevant circumstances.
  3. Reviewing your draft return and confirming it is correct before we submit it.
  4. Keeping your own records as required by HMRC.
  5. Paying any tax due to HMRC by the relevant deadline.
  6. Maintaining access to your HMRC account, Government Gateway account and any authentication methods required by HMRC.

We are not responsible for errors, penalties or interest arising from information that is inaccurate, incomplete or provided late.

Where HMRC requires action, approval or identity verification directly from you, you remain responsible for completing those steps within HMRC's deadlines.

Fees & payment

Our fees are shown on our website or quoted to you before we begin work. Unless agreed otherwise, payment is due before your return is submitted to HMRC. Prices include VAT where applicable. We may update our prices from time to time, but changes will not affect work we have already quoted and you have accepted.

Payments are processed securely through third-party payment providers. We do not store full payment card details on our systems.

Where a payment plan, staged payment or bespoke service has been agreed, additional terms may apply and will be communicated separately.

Cancellation & refunds

You may cancel before we have submitted your return. If you cancel before any work has begun, you are entitled to a full refund. Where we have already carried out work, we may retain a reasonable amount to cover it. Once your return has been submitted to HMRC, the service is considered delivered and fees are non-refundable. Nothing in these terms affects your statutory consumer rights.

Where work has commenced immediately at your request, you acknowledge that your statutory right to cancel may be reduced or lost once the service has been fully performed.

Refund requests will be reviewed on a case-by-case basis and may require supporting information. For full details, see our Refund & Cancellation Policy.

Deadlines & HMRC penalties

The deadline for online Self Assessment returns is normally 31 January following the end of the tax year. To give us time to prepare and file your return, please provide your information well before this date. If you instruct us close to the deadline, we will use reasonable efforts but cannot guarantee submission in time.

Late filing or late payment penalties and interest charged by HMRC are your responsibility, except where they result directly from our proven failure to act on complete information provided in good time.

We are not responsible for delays caused by HMRC systems, Government Gateway outages, verification delays, postal delays or circumstances outside our reasonable control.

Our liability

We will provide our service with reasonable care and skill. To the fullest extent permitted by law, our total liability to you for any claim arising out of or in connection with the service is limited to the fees you have paid us for the relevant return. We are not liable for indirect or consequential losses, or for losses arising from inaccurate or incomplete information you provide.

Nothing in these terms excludes or limits our liability for death or personal injury caused by negligence, for fraud, or for any liability that cannot lawfully be excluded.

Nothing in these terms shall make us liable for penalties, interest, additional tax liabilities or losses arising from information that was inaccurate, incomplete, withheld or supplied after a relevant deadline.

Intellectual property

All content on our website — including text, design, logos and software — is owned by or licensed to Tax Filers Hub Ltd and is protected by intellectual property law. You may use our website and materials for your own personal, non-commercial use only. You retain ownership of the information and documents you provide to us.

We process personal information in accordance with our Privacy Policy and applicable UK data protection laws. By using our services, you acknowledge that we may collect, store and process personal information required to provide the services, meet legal obligations and communicate with HMRC where authorised.

Termination

Either of us may end this agreement by giving written notice. We may suspend or terminate the service if you breach these terms, if we are required to do so by law, or if continuing would place us in breach of our professional or regulatory obligations. Termination does not affect any fees due for work already carried out, or any rights and obligations that are intended to survive.

Complaints & governing law

If you are dissatisfied with our service, please contact us first and give us a reasonable opportunity to investigate and resolve the matter. Please see our Complaints Procedure for full details.

These terms are governed by the law of England & Wales, and the courts of England & Wales have exclusive jurisdiction over any dispute arising from them.

This Refund & Cancellation Policy explains when refunds may be available for services purchased from Tax Filers Hub Ltd (“Tax Filers”). By purchasing a service from Tax Filers, you agree to this policy.

This policy applies to:

Self Assessment Tax Return services

This section covers the following services:

  • Essential Tax Return — £149
  • Plus Tax Return — £199
  • Premium Tax Return — £349

100% refund within 12 hours

You may request a full refund by emailing office@taxfilers.co.uk within 12 hours of making payment. Refund requests must be made in writing and received within the 12-hour period.

No refunds after 12 hours

After 12 hours have passed from the time of payment, all Self Assessment service fees become non-refundable. No refund will be provided if:

  • You decide not to proceed.
  • You change your mind.
  • You fail to provide documents or information.
  • Your circumstances change.
  • You no longer require the service.

UTR Registration services

All UTR Registration services are strictly non-refundable. Once payment has been made, no refund is available under any circumstances. This applies whether:

  • HMRC has processed the registration or not.
  • You change your mind.
  • You decide not to continue with the registration.
  • Additional information is requested by HMRC.

Incorrect package selection

If you purchase the wrong package, Tax Filers may, at its sole discretion, allow the amount paid to be transferred towards another Tax Filers service. This is not guaranteed and will be assessed on a case-by-case basis.

Payment disputes & chargebacks

By purchasing a service from Tax Filers, you acknowledge and accept this Refund & Cancellation Policy. Where a payment dispute or chargeback is raised, Tax Filers may provide evidence of payment, communications, submitted information and work completed to the payment provider.

Consumer rights

Nothing in this policy affects any rights that cannot be excluded under applicable UK law.

Why we verify identity

Tax Filers Hub Ltd is subject to the Money Laundering, Terrorist Financing and Transfer of Funds (Information on the Payer) Regulations 2017 (“the MLRs”) and related UK anti-money laundering legislation. These regulations require us to carry out client due diligence before we provide accounting or tax services.

Identity verification is a legal obligation — not a matter of choice. It protects our clients, maintains the integrity of the financial system, and ensures we are able to continue providing services to all of our clients.

We will only ask for what is reasonably necessary. Where possible, we will accept electronic copies of documents.

Refusal of service
